How Out-of-Town Hosts Keep an Airbnb Clean Without Being There

That Cleaning Girl · Airbnb & Rental Turnovers

Plenty of hosts do not live near their rentals. Maybe you own a place in Waxahachie but live in another state, or you host a lake house a couple of hours from home. Remote hosting works well, but only if the cleaning runs without you. If you also rent long-term, see Cleaning a Rental Between Long-Term Tenants for that side.

Here is what makes remote hosting work for the out-of-town hosts we clean for across the south DFW area.

A local cleaner you trust

Everything starts here. You need someone close enough to show up for every turnover, reliable enough to come on short notice and organized enough to report back clearly. Look for a cleaner who:

  • Already cleans short-term rentals and understands turnovers
  • Sends photos and notes after each visit
  • Communicates by text quickly when something comes up
  • Keeps your entry notes on file so every visit starts the same way
  • Has a plan for backup if they are sick or booked

Keeping the same cleaner matters even more when you are remote. They learn your property and spot problems you would never see from afar.

Access without handing out keys

Remote hosting means nobody is there to open the door. A smart lock or a keypad deadbolt is the easiest answer. Give your cleaner their own code so you can turn it off without changing guest codes. If you use a lockbox, keep it in a discreet spot and change the code now and then.

Write every access detail in your cleaner’s notes: the door code, the lockbox location, the gate code, the garage code and where the owner’s closet key lives.

Photos instead of drive-bys

You cannot walk through the rental after every turnover, so photos have to do it for you. Ask for a set after each clean: every bed, every bathroom, the kitchen, the living room and the outdoor spaces. Photos taken from the same spots each time make it easy to see if anything is off.

Damage and heavy messes should come with photos too, sent right away, so you can report issues to the booking platform in time.

A supply system that runs itself

Running out of supplies is a much bigger problem when you are five hundred miles away. A few ways to keep stock up:

  • A locked owner’s closet with backup supplies
  • A par list taped inside the door
  • A low-stock note from your cleaner with every turnover
  • Recurring deliveries of toilet paper, paper towels and trash bags
  • A small budget your cleaner can use for emergency supplies, if you are comfortable with that
Tip: Have deliveries sent to the rental on days you know a turnover is happening. Your cleaner can bring them in and put them away, and packages do not sit on the porch for days.

Having a backup plan

Things go wrong: a guest locks out the cleaner, the washer breaks, a storm knocks out power. Out-of-town hosts need a short list of local contacts for these moments:

  • A handyman for quick repairs
  • A plumber and an electrician
  • A pest control company
  • A neighbor or friend who can check on the house in a pinch
  • A laundromat nearby, in case the washer or dryer goes down

Share the list with your cleaner. If something breaks during a turnover, they can tell you exactly what happened and who you might want to call.

Clear guest communication

Remote hosts lean on automated messages. A checkout message the night before helps: what time to leave, where to put used towels, a reminder to start the dishwasher and a request to message you when they lock up. Pass early checkout messages to your cleaner right away so they can start early if they are free.

Seeing it yourself sometimes

Even with great photos, plan to visit a few times a year if you can. Walk through, sit on the furniture, sleep in a bed and take a shower. You will notice things photos miss, like a sagging mattress or a lamp that wobbles. A visit right after a seasonal deep clean is the best time to see the house at its best. It is also a good chance to meet your cleaner in person, walk through the owner’s closet together and update the entry notes. Ten minutes of face time does more for a working relationship than a hundred texts.
